Surcharges & Discounts on Projects

Modified on Wed, 8 Apr at 9:16 AM

Projects support percentage-based surcharges and discounts, which work similarly to those on Quotes. These lines are calculated against the combined product and task subtotal and are included in the project’s total value and revenue calculations.

Adding a Surcharge or Discount

On the Project edit page, scroll below the Product and Task line item tables to find the Add Surcharge / Discount button. Click it to add a new line.

Each surcharge or discount row includes:

  • Type – Choose Surcharge or Discount.
  • Name – A label for the line. Start typing to search saved templates, which will auto-fill the remaining fields.
  • % – The percentage value to apply against the product + task subtotal.
  • Amount – Automatically calculated. Discounts show as negative values.
  • Tax – The tax amount for the line, based on the selected tax rate. (Visible via the details toggle.)

Click the (ellipsis) icon in the table header to show or hide the Tax detail column.

How Amounts are Calculated

The calculation works the same as on Quotes:

Line Amount = (Product Subtotal + Task Subtotal) × Percentage / 100

Amounts update in real time as you modify product or task lines. Surcharges and discounts are non-compounding — each is calculated independently against the base subtotal.

Projects Created from Quotes

When a Quote is converted to a Project, any surcharge and discount lines on the quote are automatically copied to the new project. Each project line maintains a reference back to its originating quote line.

Projects Created from Templates

If a Project Template includes surcharge or discount lines, those lines are automatically applied when a new project is created from that template. See the Surcharges & Discounts in Project Templates article for details.

Impact on Revenue and Invoicing

Surcharge and discount amounts are included in the project’s total value and factor into revenue calculations displayed on the project dashboard. When the project is invoiced, these lines can flow through to the invoice as percentage line items.

Note: Surcharges and discounts on a project are also reflected in the project’s revenue widget, ensuring your project profitability figures account for any applied surcharges or discounts.
