MCP Overview

WorkGuru's MCP server lets an AI assistant such as Claude work with your WorkGuru data from a chat. Ask about jobs, quotes, stock, purchasing, invoices and timesheets in plain English, and have it draft work for you to check. It reads your live data, and it acts as you: it can only do what your own WorkGuru login can do.

MCP stands for Model Context Protocol, the open standard AI assistants use to connect to business software.

Once connected, the assistant prepares the work. A person decides when it becomes real.

• It acts as you - It can only do what your own WorkGuru login can do. No extra access, ever.
• Drafts first -  Quotes, invoices and purchase orders start as drafts. Issuing, approving and emailing are separate steps it confirms with you first.
• Nothing is deleted - The assistant can create and update records, but removing them is left to a person in WorkGuru.
• Emails go where the record says - When it sends a quote or invoice, the address comes from the client's record in WorkGuru, never from the assistant.
• Everything is on the record - Every change it makes shows in the audit log as AI Agent, so you can always tell an assistant's work from a person's.
• You choose who - Admins decide which roles can connect an assistant, and taking the permission away takes effect straight away.

This allows you to ask WorkGuru, via your assistant, questions such as:

• "What's the WIP on job 33579?"
• "Which of our jobs are at risk?"
• "What work have we done that we haven't invoiced yet?"
• "Show me stock on hand for 50x50 SHS."
• "Who didn't fill in timesheets last week?"
• "Draft a quote for ACME: 12 lengths of 50x50x3 SHS at 6m, and 8 hours of fabrication."
• "How much are we owed, and who should we chase first?"

FAQs:

• Which AI assistants does it work with? - Claude today. Support for other assistants, including ChatGPT, is on the way.
• Can it see things I can't? - No. It works through your own login, with your own permissions. If you can't see costs or approve invoices in WorkGuru, neither can the assistant.
• What if it gets something wrong? - It works in drafts, so you check before anything is issued or sent. Anything that reaches a customer, like emailing an invoice, needs you to ask for it. And because every change is in the audit log as AI Agent, you can always see what it did.
• Is my data used to train AI models? -  This depends on the AI provider and the plan you are on.  We highly recommend you review your AI provider's current terms before connecting/using.
• Do I need an API key or any technical setup? - No. You add WorkGuru as a connector in Claude, sign in with your normal WorkGuru login, and approve access. That's it.
• Does everyone on my team need their own connection? - Yes. Each person connects with their own WorkGuru login, so the assistant always acts as them and the audit log shows who it acted for.
