A WorkGuru project and production job's schedule is set by two hierarchical date ranges:
- Project Schedule (Mandatory) - Every project is created with a start and end date (default is the creation date)
- Task Schedule (Optional) - Each task can be scheduled independently within the projects overall schedule. Task scheduling is optional - usually defined by the workflow requirements. A project can have a mix of scheduled and unscheduled tasks as required. An unscheduled task may be used as a milestone component to display project progress.
In addition to managing schedules directly on the project or production job, WorkGuru provides two methods of visually scheduling projects and production jobs:
- Gantt Scheduling - Schedule project, production jobs and tasks to the day on a gantt chart.
- Calendar Scheduling - Schedule tasks and allocate staff to a specific time.
Adjacent to scheduling, WorkGuru also provides a dashboard to visually manage Staff Capacity
As Gantt and Calendar scheduling are fundamentally different, which is the most appropriate for your workflow is generally dependent on how detailed your need your scheduling to be. You would generally choose either gantt or calendar scheduling, however some hybrid approaches are available. For example, your workshop uses the gantt schedule as completion dates are important. Whereas your installation team would use the calendar schedule as they need to onsite at a particular time and day.
Gantt Scheduling
The Gantt schedule is the easiest way to schedule projects, tasks and staff. Gantt scheduling will display the daily breakdown of a project or production job's task schedule.
The gantt schedule is also available by viewed by staff member if staff have been assigned to scheduled project tasks.
Calendar Scheduling
Calendar scheduling requires more administration but allows you to schedule tasks and staff in much more detail, by allocating a specific time of the day the task is forecast to start and finish. This allows you to subscribe to the calendar schedule via a standard RSS/CalDAV feed into external calendar apps such as Google Calendar, Outlook or iCal. Staff can also access their calendar schedule via the WorkGuru mobile application.
Calendar scheduling also allows you to easily convert a schedule to a timesheet if tasks were done on time.
Staff Capacity
WorkGuru also provides visibility of the available capacity of staff during a selected period based on their calendar schedule via the Staff Board.
