Onboarding Tool

The quickest way to get your new WorkGuru tenant up and running is by using our handy onboarding tool.  

The onboarding tool will walk you through the 4 steps of setting up the basic data required to start using WorkGuru operationally.  

Open the onboarding tool from your Welcome to WorkGuru email or directly from this link:

Step 1: Business Details

Fill out the business details:

  • Business Name - Business trading name
  • Number of Employees - Number of active users you will require.
  • Main Currency - Main trading currency, should match the primary currency used in your accounting system.
  • I need Inventory Management Features! - Select if your workflow requires stock control.
  • Company Address - Primary business address (can add more later if you trade from multiple locations)

Click Save and Next to apply changes.

Step 2: Data Setup

Fill out the data setup details:

  • Set a Labour Rate- WorkGuru tasks are different work types (Tasks) you do that you charge clients for! It could be Design, Build, QA; or it could be Engineer, Draftsman, Director. It's up to you!  Once filled repeat the task setup by using Add a new taskto capture all the labour rates you use.
    • Labour/Task Name - Type of task/timesheet e.g. Welding / Carpenter / Electrician / Testing
    • Cost to YOU per Hour - What this work costs your business per hour
    • Price per Hour - What you sell this work for per hour
  • Bring in You Own Data- Connect to your accounting platform to sync your clients, suppliers, products, tasks, tax rates and chart of accounts.WorkGuru will never send data to your Accounting platform without you telling us to! You can even disconnect after you've grabbed your data just to be safe!
    • Xero - Connect to Xero and import clients, suppliers and products
    • MYOB - Connect to MYOB and import clients, suppliers and products
    • QuickBooks - Coming soon.
    • Load Fabrication Demo Data - Load an example task and product list pre-configured to support a fabrication/workshop workflow.
    • Load Construction Demo Data - Load an example task and product list pre-configured to support a construction/building workflow.

Click Save and Next to apply changes.

Step 4: Quote/Invoice Printing

Fill out the document template details:

  • Bank Details - Add your bank/payment details to display on invoices for client payments. This step is optional.
  • Upload Company Logo - Used to brand your document templates.
  • How do you want to print your quotes? - Choose from pre-formatted template options, you can select multiple templates. Click Preview to show an example of the template:
    • Show every single line - For itemised quotes.
    • Show just a total - For summary quotes, hiding details.
    • Show every line but only a total price - Itemised line items without itemised pricing.
  • How do you want to print your invoices? - Choose from pre-formatted template options, you can select multiple templates. Click Preview to show an example of the template:
    • Show every single line - For itemised invoices.
    • Show just a total - For summary invoices, hiding details.
    • Show every line but only a total price - Itemised line items without itemised pricing.
    • Show percentages or each line - For milestone/progress invoices. Displays quoted, previously invoiced and amount remaining values.
  • Just Give Me The Defaults - Just adds the default non-branded document templates to your tenant.
  • Generate Selected - Adds the selected document templates to your tenant branded with the supplied bank details and logo.
