User and General fields are dynamic fields that generate when a document template is printed
Document Compatibility
User and General Fields are supported on all documents:
- All Documents see All Document Templates
User and General fields are Universal Fields, which means they can be placed directly within a supported document template and do not need to be inside a repeating table. Merge fields are case sensitive and must be entered exactly as displayed below.
User Fields
User fields display information about the currently logged-in WorkGuru user. These fields are useful for document signatures, contact information, generated-by sections and other areas where you want to identify the WorkGuru user generating the document.

User fields should not be confused with fields that display the owner of a particular WorkGuru transaction, such as [QuoteOwner],[ProjectManager]or [CreatedBy]. User fields display the currently logged-in user generating the document. Transaction owner fields display the user assigned as responsible for that transaction.
For example, if Alex owns a Quote but Jordan generates the Quote document:
[QuoteOwner]
would display Alex, while:
[UserFullName]
would display Jordan.
General Fields
General fields display information about when a document is generated so the output is dynamic based on when the template is printed. Unlike transaction-specific fields, General fields are available across all document types listed in the Document Template Field Library.

The General Print Date fields should not be confused with dates stored against a transaction such as [QuoteDate] or [ProjectStartDate] etc.
Troubleshooting
User & General Fields Are Blank
Check that:
- The applicable information has been recorded against the WorkGuru user. (For example, [UserPhone] may return blank if the user’s phone number has not been recorded)
Merge Fields Appear Instead of Values
If fields such as [UserFullName] or [PrintDate] appear in the generated document instead of their values, check:
- Merge field spelling
- Capitalisation
- Document compatibility
- That the merge field includes both square brackets
Merge fields are case sensitive.
