Client & Contact Fields Reference

Client and Client Contact fields allow you to display information about the Client associated with supported WorkGuru transactions. 

  • Use the Client fields when you need information about the Client business.
  • Use Client Contact fields when you need information about an individual person associated with that Client.

These fields can display information such as:

Document Compatibility

Client fields are supported on the following customer-facing document templates:

Client and Client Contact fields are Universal Fields, which means they can be placed directly within supported document templates and do not need to be inside a repeating table. Merge fields are case sensitive and must be entered exactly as displayed below.

Client Fields

Client Address

Use these fields to display the Client’s address.

Client Postcode[ClientPostcode]

These fields can be combined to create a formatted Client address.

For example:

[ClientAddress1]

[ClientAddress2]

[ClientSuburb] [ClientState] [ClientPostcode]

Depending on your address format, [ClientCity] can be used instead of or alongside [ClientSuburb].

Any address field without a value will return blank when the document is generated.

Client Contact Details

The Client organisation’s general contact information can be displayed using:

These fields relate to the Client organisation. To display information about an individual Client Contact, use the Client Contact fields later in this article.

Client Credit Information

These fields display the credit information recorded against the Client. They can be useful on internal financial and operational documents where the Client’s credit arrangements need to be visible.

Client Contact Fields

Client Contact fields display information about an individual person associated with the Client. These fields are separate from the general Client organisation fields. There are no 'Universal' client contact fields, they are dependant on which document template you are using them on.

Client Custom Fields

Custom fields can also be included where they are available to the applicable transaction type.

Use Custom followed by the custom field name.

For example, if you have a Client custom field called:

AccountNumber

the merge field would be:

[CustomAccountNumber]

Custom field availability depends on the custom field configuration and the document type being generated.

Client vs Billing Clients & Contacts

The Client and Billing Client can represent different organisations on the same WorkGuru transaction.

  • The Client is the organisation associated with the work or transaction.
  • The Billing Client is the organisation associated with billing where a separate Billing Client has been selected.

For example, work could be performed for:

Client: ABC Construction – Brisbane Site

while billing is directed to:

Billing Client: ABC Construction Holdings

In this situation, [ClientName]displays the Client associated with the work. [BillingClientName] displays the information associated with the separate Billing Client. For the complete list of Billing Client fields, see the Billing Client & Billing Client Contact Fields Reference.

Choosing the Correct Client Field

WorkGuru provides several field groups that can appear similar. Use the field group that matches the information you need.

Choosing the correct field group is particularly important where a transaction contains multiple Client or Contact relationships.

Troubleshooting

Merge Fields Are Blank

Blank fields indicate the field is correctly printing nothing due to the source data not existing. Check that:

  • A Client or contact has been assigned to the transaction.
  • The required information has been entered against the assigned Client and contact

Merge Fields Appear Instead of Values

If fields such as [ClientName] or [ClientContactFullName] appear instead of their values, check:

  • Merge field spelling
  • Capitalisation
  • Document compatibility
  • That the merge field includes both square brackets

Merge fields are case sensitive.
