Sales Calendar

The Sales Calendar puts all your sales dates on one month view: your to-dos, your quote dates, and your lead activities. Instead of checking three screens, you look at one.

You will find it under Sales > Sales Calendar. Anyone with access to the Sales menu can open it.

What appears on the calendar

Five kinds of entry, each in its own colour:

The tick boxes along the top turn each colour on and off. Untick one and those entries disappear from the view until you tick it again.

  • A to-do only shows if it is linked to a lead or a client. One that hangs off a quote, a project or a task on its own is left out on purpose - a quote already shows its own three dates here, so its to-dos would only double up.
  • Quote markers show whatever the quote's status is - draft, sent, accepted or lost. The calendar does not filter them by status.
  • Finished work drops off. Once a to-do is ticked off or an activity is marked complete, it no longer appears. The calendar shows what is still to do.

Where each date comes from

If an entry looks wrong, this is the screen to fix it on:

A to-do with a Start Time sits at that time of day, and a Finish Time gives it a length. With no start time it sits at the top of the day as an all-day entry. Quote dates and lead activities are always all-day entries.

Whose entries you see

By default you see your own work only:

  • to-dos assigned to you
  • quotes where you are the Quote Owner
  • lead activities assigned to you - the User on the activity

If your role has the Can See All Quotes permission, a Show everyone's tick box appears on the right. Tick it to widen the calendar to the whole team.

  • One thing to know: quotes and to-dos widen on Can See All Quotes, but lead activities widen on Can See All Leads. If your role has one and not the other, that half of the calendar quietly stays as your own entries. There is no error message - it just does not widen.

What you can do on it

  • Open something. Click any entry and it opens in a new tab - the to-do, the quote, or the lead's Activities tab. Your calendar stays where it was.
  • Move a date by dragging. Drag a to-do or a lead activity to another day and it is rescheduled straight away. You will see a short "Rescheduled" message.
  • Drop it on a time slot in the Week or Day view and it takes that start time, keeping the same length. If the new time would run past midnight, the finish time is trimmed back to the end of the day.
  • Drop it on the all-day row and any start and finish times are cleared.
  • If the move is not allowed - it is someone else's item, or it was deleted while you had the page open - the entry snaps back where it was, with a short message saying why.
  • Quote dates cannot be dragged. Due, expiry and forecast are fixed markers. Change them on the quote itself and the calendar picks up the new date.
  • Change the view. Month, week, day and a plain list view are the buttons in the top right. Today and the arrows, top left, move you around.

Why is something not showing?

  • A to-do is missing. Three usual reasons: it has no due date, it is already ticked off, or it is not linked to a lead or a client. Only lead and client to-dos belong on this calendar.
  • A quote is missing. Either the date field you are looking for is empty, or you are not the Quote Owner - see section 3.
  • A teammate's work is missing. You need the Can See All Quotes permission for the Show everyone's box to appear at all, and Can See All Leads as well before their lead activities join in.
  • Something vanished after I completed it. That is expected - see section 1.
