Automating Purchasing in WorkGuru

Once of the advantages of WorkGuru projects with accurate material forecasts is that you can take out the guesswork and stress of trying to manually order everything you need to complete your projects.  By using the purchasing tools WorkGuru provides, you can ensure you are purchasing exactly what you need.

Note: A core requirement to enable the purchasing automation functionality in WorkGuru is to ensure that all products have a default Supplier assigned in the product details.  Products without a default Supplier will note be added to purchase orders raised by order functionality in WorkGuru.

Project Specific Purchasing Automation

If your purchasing workflows are project specific, you can use the ordering functions available in the project's Materials tab to purchase forecast products with no data entry required:

  • Order Selected Materials - Manually select the products to add to a new purchase order. Click the checkboxes to enable this option. Apart from the line items, the rest of the order will need to completed as a new project purchase order.
  • Create One Purchase per Supplier - Raise draft purchase order(s) for all products in the list grouped by line items default supplier. The draft purchases will then be available in the projects Purchases tab to review, approve and issue as required. Note:  Products without a default supplier assigned or ad-hoc line items will not be added to the order. 
  • Order Out of Stock Products - Raise draft purchase order(s) for any forecast FIFO products that do not have enough stock on hand to complete the project.

Project Wide Purchase Automation

If you want to streamline your purchases across multiple projects, WorkGuru provides two workflows depending on if your purchasing rules are based on stock levels or future project forecasts:

  • If you purchase based on products falling below a minimum stock level, use the Buying Guru report (Purchases -> Buying Guru).  This report will display products that have triggered the pre-set minimum stock level and will prompt to re-order back to par or max quantities.  Note: The Buying Guru report the only available with WorkGuru's inventory module.
  • If you purchase to order based on upcoming project forecast, use, the Stock Shortages report.  This is a forecasting reporting that will allow you to purchase all required products based on the project forecasts within a defined date window.

If the report which best suits your purchasing workflow is run a regular intival, you will always have the stock required to complete your scheduled projects, eliminating the need for costly one-off, last minute purchases.
