Lead Forms: Overview & How They Work

Lead Forms let you capture enquiries straight from your website and turn them into Leads in WorkGuru automatically. You build the form inside WorkGuru, copy a small snippet of code, and paste it onto your website. From then on, every time a visitor fills in the form, WorkGuru creates a new Lead (and, if needed, a new Client) for you — no copying and pasting from your inbox, no manual data entry.

This guide walks you through everything: creating a form, choosing what information it collects, adding it to your website, styling it to match your brand, and understanding what happens when someone submits it.

What a Lead Form does:

A Lead Form is a contact/enquiry form that lives on your own website but is powered by WorkGuru. Every form always collects four core pieces of information, and you can add as many of your own custom fields as you like on top of that.

When a visitor submits the form, WorkGuru will:

  • Check whether the person is an existing Client (matched on name and email) — if not, it creates a new Client record for them.
  • Create a new Lead attached to that Client.
  • Assign the Lead to the default StageCategory and Owner you chose when you built the form.
  • Save any custom field answers against the Lead.

The visitor simply sees a friendly “Thanks! We’ll be in touch.” confirmation once they submit.

The big picture — from setup to submission

  1. Build the form in WorkGuru: give it a title, choose the default Stage, Owner and Category for the Leads it creates, and pick which custom fields to include.
  2. Style it (optional): set colours, fonts and rounded corners, or leave it blank so the form automatically inherits the look of your website.
  3. Add conditional logic (optional): show or hide certain fields depending on what the visitor has already answered.
  4. Copy the embed snippet WorkGuru generates for the form.
  5. Paste it into your website wherever you want the form to appear.
  6. Leads flow in automatically as visitors submit the form, ready for your team in the Lead Tracker.

Where to find Lead Forms in WorkGuru

Lead Forms are managed from the Lead Forms page. You can reach it from two places:

  • Open the Lead Tracker (from the Sales area of the main menu) and click the Lead Forms button at the top of the page.
  • Or open Lead Settings and click the Lead Forms button there.

Permissions: You’ll need the Lead Forms permission to create and edit forms, and access to Lead Settings to see the button that opens the page. If you can’t see the Lead Forms button, ask your WorkGuru administrator to check your role’s permissions.

Do I need a developer?

For most of the process, no. Building the form, styling it and setting up rules are all done with simple point-and-click screens inside WorkGuru. The only step that touches your website is pasting the embed snippet — and that’s a single copy-and-paste. If you use a website builder like WordPress, Squarespace, Wix or Shopify, you can usually do this yourself in a couple of minutes (we cover how in the “Installing the embed snippet” article). If your website is custom-built, you may want to hand the snippet to whoever maintains it.
